What makes SmartDoc AI different from generic document processing tools is its contextual understanding. It doesn't just extract data fields — it understands the document. Under the Hood: How Extraction Actually Works
SmartDoc AI's extraction pipeline runs in three stages. First, layout-aware OCR converts the document image into text while preserving its structure — table rows, form fields, headers — which matters enormously for accuracy, since flattening a document into plain text loses the positional information that tells you which value belongs to which label. Second, a fine-tuned extraction model identifies and pulls the specific fields relevant to your document type. Third, a validation layer checks each extracted value against your configured business rules — a policy number should match a known format, a date shouldn't be in the future, a total should reconcile with its line items — before anything is marked as processed.
Documents that fail validation are routed to a review queue with the specific issue flagged, rather than either silently accepting a bad extraction or blocking the whole batch. This keeps exception handling proportionate to actual risk.
Security and Data Handling
Because SmartDoc AI processes sensitive business documents, security was a first-class design constraint, not an add-on. Documents are encrypted in transit and at rest, processing happens within your chosen Azure region, and role-based access controls determine who can view extracted data versus raw source documents. For regulated clients, we support configurable data retention policies so processed documents don't linger longer than your compliance requirements allow.
What's Next for SmartDoc AI
We're currently extending SmartDoc AI's comparison module to handle multi-document reconciliation — for example, automatically checking that the figures across an invoice, a purchase order and a goods-received note all agree, and flagging the specific discrepancy when they don't. We're also expanding language support beyond English to better serve multilingual document sets, a frequent request from clients operating across Indian states.
